Arts and Sciences Marketing and Communications has prepared a set of commonly used templates the university provides and made them ready to use for each individual unit. Our office will be updating these current templates and adding new templates to improve usability. New templates will be shared with college faculty and staff when they are added, but should be approved through department communicators before use.

Please refer to our resources to submit your news to college newsletters and university publications (onCampus). If you have a piece of news to share with the Marketing and Communications office, please also submit your story ideas to our office.

Social media provides important and powerful channels to communicate with your audiences. Please refer to the resources below if you are just getting started with your unit's social media presence or would like to refine your current efforts.

Online newsletters are a cost-effective way to post and share department, center and program news with alumni and other stakeholders.

The newsletter content lives on the unit's website, and Marketing and Communications can partner in developing an email to stakeholders (alumni, donors, etc.) to drive traffic to the content. Online newsletters are created and managed by the unit. If your website is on the new Drupal 8 platform, please submit a project inquiry with Marketing and Communications, so you can be given the proper training to upload to the content to your site. If your website is still on the Drupal 7 platform, please email Chris Wallace, web services coordinator, at wallace.638@osu.edu to get set up with the training.

Expectations: The unit will create the content and upload to their website, but they will send the articles to Marketing and Communications for content review before an email will be built. If units would like to share the newsletter with their alumni, our office will managing sending through Salesforce per university standards.

Marketing and Communications can partner with you to create collateral materials to showcase the strength of your department, school, center or program in strategically engaging with your audiences. Print collateral can include newsletters (print and electronic), recruitment brochures, direct mail, invitations, giveaway items, posters, banners, folders and more.

A project inquiry should be submitted before content is developed for any print project to give an opportunity for an intake meeting to discuss audiences, strategic goals, timeline and expectations.

Estimated Timelines

  • Large pieces: 12 weeks, from intake through delivery/mailing (e.g. magazines/newsletters)
  • Smaller pieces: 8 weeks, from intake through printing (e.g. brochures, postcards, etc.)

Email marketing enables you to communicate with your audiences on a regular basis, but there is a lot to think about before you hit send: Who you are sending to? How frequently are you sending? What template you are using? What are your marketing goals and calls to actions? Our office is here to help set up communication pieces and issue them, or, if you send out messages often, we can help you set up your own HTML messaging account through Mailchimp and design templates.

*Please note that the Marketing and Communications office, in partnership with the Office of Advancement, will facilitate all communications with alumni. Departments must contact the Marketing and Communications office if they would like to send an email communication out to their alumni, as alumni mailing lists are requested at the university level through TAS.

We are always interested in hearing stories from across the college that we can use to highlight the excellence of our departments, schools, centers and people. The Marketing and Communications office can help your unit develop the artwork needed for merchandise, apparel and promotional items to meet both university brand standards and the product specifications. 

Expectations: Units are responsible for contacting the vendor (approved vendors can be found here) and coordinating production. If design support is requested, the unit must provide artwork specifications to the Marketing and Communications office.

Web Services, now part of the office of ASC Technology Services, continues to provide support and user training for the college's department, school, center and program websites. Marketing and Communications and ASC Tech continue to work collaboratively on these websites. For unit website training and support, please submit a ticket through ASC Tech. For assistance on web content to strategically engage with your audiences, please submit a project inquiry through Marketing and Communications.
